Here’s who to call first when you’ve got a payment problem.

Helpful tips to avoid payment problems

  • Make sure you have copy of ACS Authorization of Payment form indicating start date.
  • Keep attendance. Keep a Daily Sign-in Sheet. Having your parent(s) sign in daily helps you prove what days you provided care. (Licensed providers are already required to keep a sign-in sheet.)
  • Be able to show Fair Hearing decision. If one of your parents goes through a fair hearing and “wins” that does not mean you automatically will get paid unless the judge’s decision specifically says that retro money would be paid for child care. Get a copy of the “Decision After Fair Hearing” that OTDA sends to the parent.
  • Make copies of everything (i.e., W-9’s, Timesheets, etc.) If you deliver papers in person, always get a receipt. If you mail documents, sending them as certified mail will help prove ACS received them.
  • Keep track of who you talk to: Keep a log of your phone calls and meetings with ACS. Who did you speak to (departments, staff names, and phone numbers) and when did you speak to them? What information did they give you?

How can I get my replacement check faster?
Until recently, the standard wait for a replacement check was 120 days. After providers met and negotiated with the city, ACS agreed to have the replacement check to the provider in 4 weeks if the provider has direct deposit.

How can I sign up for direct deposit?
Download and complete application. Send the form to payment vendor for ACS: YMS Management Associates, PO Box 968, Peck Slip Station, New York, New York 10272-0968

  • You will need a bank account. If you don’t have one, it would be a good idea to open one. At many banks, you need as little as $100 to open an account. Note: It is important to find a bank that will not penalize you for going below a minimum balance.
